 If you as company wants to request to shareholder to update his email, you can send the request letter. Following is its format.

Subject : Updation of email address 

In view of the continuing covid 19 pandemic, the ministry of corporate affairs MCA and securities exchange board of india (SEBI) has extended certain relaxations in conducting annual general meeting vide circular no. 02/2021 dated jan. 13,2021. ( Hereinafter collectively referred to as circulars) provided that the companies shall send through email. Pursuant to the aforesaid circulars, name of your company has decided to send the annual report for the financial year 2020-21 and notice of 25th annual general meeting only through email to all the members of company. In addition, the soft copy of annual report and the notice of AGM shall be made available in the investor relations page on the website of ( the company name the website of your company and its page ) and stock exchanges at www.nseindia.com and www.bseindia.com

To receive soft copy of above documents , the members who are holding shares in demat form are required to register their email address with the depository participants and those who holds shares in physical form are requested to update their email id with the registrar and transfer agent , link intime india pvt. ltd. The members who have not yet registered or updated their email addresses already are requested to register and update the same at the earliest.

In case of any further queries kindly contact m/s link intime india pvt. ltd, the registrar and transfer agent of the company (Give full address and email )
